 Recognition Management Solution

Client Requirement

As part of our clients internal business process excellence initiative our client wished to engage and involve employees in the global reward and recognition system. The process in use was the client was traditional in that all forms were paper based, approvals were time consuming as the  forms had to be 'walked' around for signature and the client had to analytical data regarding usage of the system, costings etc.  All requests also required  filing and storage and was prone to human error. As the company was growing in size the administrative overhead cost was increasing accordingly.

Our client wanted to install a  database solution that enabled employees and team leaders to nominate and approve individuals for awards through a web based online system. Additionally it held all records electronically and provided standard reports for data retrieval.

 

eFlexes Solution

eFlexes provided a reward and recognition solution consisting of a web-based front end developed in Active Server Page technology and a database developed in SQL Server. The below diagram outlines the workflow of the new electronic system.

 

           

 

Architecture

The SQL database is connected to the employee master file and accesses information like employee name number, department and the assigned supervisor.

Proposals for rewards can be entered via a web based employee portal on any PC. The type of reward and value is determined by the employee master data.

The solution will route requests for approval via the in-house email system. Approvals or rejections are captured via standard forms with drop down menus and free form text and are distributed again via email to human resource or the next approval level as determined in the work flow. Placing purchase orders for rewards or determining the total value of rewards granted so far are only some of the administrative and reporting functions available to human resource and general management.

The security functionality prevents unauthorized read or write access to data and reports and will ensure the control of employee sensitive data.

The primary benefits have been a reduction in the administration time spent on generating and approving recognition applications. Additionally the solution provides a much more user freindly method for employees to recognise their colleagues.
