Position Overview

This role is responsible for supporting the Sales Department in their day to day activities by providing administrative and organisational assistance to the Sales Team as well as identifying and supporting market opportunities which contribute towards the Company’s growth strategy. 

Key Responsibilities/Tasks

? Provide administrative support to the Sales Department.

? Direct sales enquiries to the correct Sales Team member.

? Liaise with the Sales Team to ensure the Paint Slot Schedule availability sheet is up to date.

? Develop Project Folders for all booked work.

? Ensure Production Teams are fully aware of all customer specific detail relating to all facilities.

? Book and communicate any maintenance support events to support ongoing and new contracts/projects relating to all facilities.

? Ensure Interiors Slot Schedule, Invoicing Sheet and CRM are up to date.

? Coordinate Interiors project requirements with customers, the interiors workshop (production) and the Materials department; ensuring all required documentation is received from customers and follow up as required.

? Coordinate Graphics project requirements with customers, ensuring all required documentation is received from customers and follow up as required.

? Keep customers up to date on project status and communicate with customers in a timely manner.

? Proactively use the CAPA data base to identify and generate sales leads for the Sales Team.

? Support the development of identified sales opportunities in conjunction with the Sales Team.

? Manage the Sales CRM (Customer Relationship Management) tool to ensure accurate recording of leads, enquiries and sales.

? Conduct customer satisfaction surveys.

? Assist the Sales Team in developing accurate forecasts for presentation at quarterly meetings.

? Manage the coordination and organization of Trade Shows.

? Help to identify and progress PR opportunities based on Company’s activities in the market.

? Assist in the development of Press Releases with Company’s chosen PR Company.

? Update Company website regularly via content management system.

? Update content for weekly operations meeting.

? Ensure timely distribution of Company E Zine.

? Ensure the Airline Representative offices are up to date with current  Marketing Materials.

? Arrange travel and accommodation requirements for customer representatives and employees as required.

? Arrange invitation letters and coordinate visa requirements for  customer representative visits and employees as required.

? Develop and maintain good business relationships with both internal and external customers. 

? Provide cover for Sales Support Coordinator – Technical Services & Engineering as required.

? Any other reasonable tasks as required by the Sales Director.
