eFlexes are looking for an EMEA Sales Executive Assistant for a multinational client based in Dublin.  The role will support the EMEA Sales Vice President, EMEA Sales teams and internal and external stakeholders.

The Executive Assistant will primarily provide administration and coordinative tasks, with key responsibilities involving diary management and liaison, handling itineraries, organising events, travel and hotel arrangements, processing expenses, preparing meeting agendas, organising information, communications, and any other documentation relevant to EMEA sales. A key part of this role will also be to support several projects and initiatives for the EMEA Sales VP and sales teams to support regional and global strategic goals.

This role requires an outstanding communicator with excellent interpersonal skills. You will cope well with change and pace, with the creativity and flexibility to manage several projects at once. You will need a cool head and the ability to work under pressure, prioritising your responsibilities whilst demonstrating excellent organisation skills and attention to detail.

This role would suit a self-starter, able to take on flexible priorities and deal with a fast-paced changing environment. Travel will be required up to 25% of the time (Covid dependant), and the role is hybrid with 3 days in the office and 2 days remote working.  

Key Responsibilities:

  • Be a first point of contact on all external matters including call screening, meeting requests etc. on behalf of the EMEA Sales VP.
  • Provide coordination and administration support including, but not limited to, planning itineraries, organising travel and hotel arrangements and processing expenses
  • Work proactively to manage diaries for executives with the ability to prioritise meetings and resolve schedule conflicts
  • Be available to take meeting minutes, consolidate presentations and reports etc., when required
  • Provide co-ordination, administration, and strategic support to ensure high profile virtual or face to face events are effectively planned and managed from initiation through to post event evaluation to drive both internal and external stakeholder engagement
  • Work to deliver sales analytics and market research as required to support the EMEA Sales VP
  • Work collaboratively with the EMEA Sales VP and direct reports on a 12-month rolling project programme which is aligned to The Company business objectives
  • Work proactively to manage multiple projects, maintaining a high level of detail to satisfy both internal and external stakeholders
  • Look to continuously improve ways of working and work with executives to understand and align with their strategic direction
  • Other ad-hoc duties as required.

Qualifications and Experience:

  • At least 5 years (extensive) experience supporting at a Director/VP level of an international company in an office environment, performing administrative tasks
  • Experience of working in a dynamic, fast paced European Sales environment, ideally with international exposure
  • Previous corporate project management experience with project planning, implementation, and monitoring skills
  • Strong IT skills and systems experience, including SharePoint, Teams, Excel, Word, and PowerPoint
  • Highly proficient communicator able to adapt to dealing effectively with individuals at all levels within the organization, able to influence and put suggestions across
  • Flexible to meet the changing needs of the business and willingness to take on new responsibilities as and when required.
